The Clubhouse respects your privacy and is committed to handling personal information responsibly and in accordance with the New Zealand Privacy Act 2020.

This Privacy Policy explains what information we collect through theclubhouse.nz, why we collect it, how we use and protect it, and the choices you have.

The Clubhouse is operated by Waddell & New Zealand Sports Collective.

Photo gallery access

Some photo galleries linked from The Clubhouse require you to enter your email address before you can access them.

We collect your email address to:

• provide access to gated photo galleries;

• recognise you when you return using the same browser;

• administer gallery access;

• understand how our galleries are being used; and

• maintain records associated with any marketing consent you choose to give.

We may record the galleries you access, including the gallery title and link, the date and time of your first and most recent access, and the number of times you have accessed a gallery.

These records are associated with your email address.

The gallery access form does not ask for your name, school, demographic information or sponsor details.

Providing your email address is required to access a gated gallery. If you choose not to provide it, you will not be able to access that gallery, but you can continue to use other parts of The Clubhouse website.

Entering your email to access a gallery does not automatically subscribe you to marketing.

Optional email marketing

When registering for gallery access, you may also be given the option to receive news, competitions and updates from The Clubhouse by email.

This is optional. The marketing checkbox is unticked by default and gallery access is not conditional on agreeing to marketing.

If you choose to opt in, we may record:

• your email address;

• that you gave consent;

• the date and time of that consent; and

• the version of the consent wording you agreed to.

If you have previously opted in, simply leaving the marketing checkbox unticked on a later gallery visit does not withdraw that earlier consent. You can unsubscribe at any time using the unsubscribe option in one of our marketing emails or by contacting hello@theclubhouse.nz.

We do not automatically provide gallery-access email addresses to sponsors or other third parties for their own marketing.

Remembering your browser

After you successfully register for gallery access, The Clubhouse stores a random access token and its expiry date in your browser's local storage.

Your email address itself is not stored in your browser's local storage.

Our backend stores a protected version of the token linked to your Clubhouse contact record. This allows us to recognise the same browser without asking you to enter your email every time.

Browser recognition may remain active for up to 12 months, subject to server-side expiry or revocation.

You may be asked for your email again if you:

• use another browser or device;

• use private or incognito browsing;

• clear your browser storage;

• have browser storage disabled; or

• return after your access token has expired or been revoked.

Clearing your browser storage removes recognition from that browser. It does not automatically delete information already held by The Clubhouse.

Website analytics

The Clubhouse uses Framer's built-in analytics to understand how the website is being used.

These analytics provide aggregated information such as page views, visitor numbers, referral sources, countries, device types and browsers. Framer's built-in analytics do not use cookies or persistent identifiers to track visitors across different days.

We use this information to understand website performance, improve the site and identify which content is useful to visitors.

If we introduce additional analytics, advertising or tracking technologies in the future, we will update this policy where appropriate.

Contact enquiries

If you contact us through the website, we collect the information you provide through the Contact form.

This may include your:

• name;

• email address;

• enquiry type;

• message; and

• organisation or school, if you choose to provide it.

We use this information to receive, manage and respond to your enquiry and, where necessary, route it to the appropriate Clubhouse or Waddell team member.

Submitting a Contact enquiry does not subscribe you to marketing.

Contact forms are processed using Framer and notifications are sent to hello@theclubhouse.nz so our team can respond.

Please only include personal information that is reasonably necessary for your enquiry.

Service providers

We use third-party service providers to operate The Clubhouse website and related services.

These currently include:

Framer
Provides website hosting, built-in website analytics and processing of Contact form submissions.

Google services
Google Apps Script and restricted Google Sheets are used to process and store gallery-access, activity and marketing-consent records.

Playbook
Photo galleries linked from The Clubhouse may be hosted on Playbook. When you open a gallery, your use of Playbook is also subject to Playbook's own terms and privacy practices.

YouTube and social platforms
The Clubhouse may link to videos, social media content or other services operated by third parties. When you follow those links, the third party's privacy practices apply.

Some service providers may process or store information outside New Zealand. Where they process personal information on our behalf, we remain responsible for how that information is handled and take reasonable steps to ensure appropriate privacy protections are in place.

When we may share information

We may provide personal information to service providers where this is reasonably necessary for them to provide services to us.

We may also disclose personal information where required or permitted by law, or where reasonably necessary to protect the rights, safety or security of The Clubhouse, our users or others.

We do not sell personal information.

Gallery access or Contact enquiries do not, by themselves, give sponsors permission to contact you directly.

Security

We take reasonable steps to protect personal information against loss, unauthorised access, misuse, disclosure or alteration.

Access to gallery records, consent information and Contact enquiries is restricted to authorised people who require access for their work.

The gallery system is designed so that website visitors cannot browse contact records or device-token records through the gallery access interface.

Gallery diagnostics use request references and error codes where practicable rather than displaying raw email addresses.

No internet-based system can be guaranteed to be completely secure, but we review the way personal information is stored and accessed and take reasonable measures appropriate to the information we hold.

How long we keep information

We keep personal information only for as long as it is reasonably required for the purposes for which it may lawfully be used.

Gallery browser-recognition tokens expire after a maximum of 12 months unless they are revoked earlier.

Other records — including gallery access, consent, Contact enquiry and activity records — may be retained for longer where reasonably necessary to administer our services, maintain consent and unsubscribe records, respond to enquiries, resolve issues, produce legitimate reporting or meet legal obligations.

When personal information is no longer reasonably required, we may delete or anonymise it.

Accessing or correcting your information

Under the Privacy Act 2020, you may ask us for access to personal information we hold about you and ask us to correct information that is inaccurate.

You can also ask us to delete information we hold about you. We will consider deletion requests taking into account the purposes for which the information is held and any legal or operational requirements that require us to retain particular records.

We may need to verify your identity before providing, correcting or deleting personal information.
