1. Who we are

This website is operated by [Legal entity name] (trading as The Clubhouse) ("The Clubhouse", "we", "us", "our"), a New Zealand-based platform for live sport, highlights, competitions, and community sports coverage.

We are committed to protecting your personal information in accordance with the New Zealand Privacy Act 2020 and its thirteen Information Privacy Principles, and to sending electronic marketing only in accordance with the Unsolicited Electronic Messages Act 2007.

This policy explains what personal information we collect, how we use it, who we share it with (including our event partners), and the choices and rights you have.


2. What information we collect

Depending on how you interact with The Clubhouse, we may collect:

  • Contact details: your name and email address, and where you choose to provide them, your phone number, region, school, club, or team affiliation.

  • Sign-up and entry information: details you provide when you subscribe to updates, register for or attend an event, enter a competition or giveaway, or create an account.

  • Marketing preferences: your consent choices, including whether you have agreed to receive marketing from us and/or from our event partners.

  • Technical and usage information: device type, browser, IP address, pages viewed, and viewing activity (such as livestreams or highlights watched), collected through cookies and similar technologies.

  • Correspondence: any messages you send us.

We collect this information directly from you wherever possible. We only collect personal information where it is necessary for a lawful purpose connected with our activities.


3. Email collection and marketing by event partners

This section describes the practice at the heart of this policy: with your consent, we collect email addresses for marketing purposes, including marketing by the partners involved in the events, competitions, and coverage we deliver ("event partners"). Event partners may include event organisers, sporting bodies, schools and competitions we cover, sponsors, and brands associated with a specific event or promotion.

How consent works:

  • When you provide your email address (for example, when signing up for updates, entering a competition, or registering for an event), we will clearly tell you at that point whether your email may be used for marketing, and by whom.

  • Consent to receive marketing from event partners is opt-in: you will be asked to actively indicate your agreement (for example, by ticking an un-ticked checkbox). We do not treat silence or a pre-ticked box as consent.

  • Where practicable, we will identify the relevant event partner(s) or the category of partners at the point of collection, so you know who may contact you.

  • If you consent, we may share your name and email address with the relevant event partner(s) so they can send you marketing about their products, services, events, and offers.

What happens after you consent:

  • Marketing messages sent by us will clearly identify The Clubhouse as the sender and include a functional unsubscribe facility, as required by the Unsolicited Electronic Messages Act 2007.

  • Event partners who receive your details are required to identify themselves in their messages and to provide their own unsubscribe facility. Once your details have been passed to an event partner with your consent, that partner is responsible for handling your information in accordance with the Privacy Act 2020, and you can opt out of their communications directly with them.

Withdrawing consent:

  • You can withdraw your consent to marketing from us at any time by clicking "unsubscribe" in any email we send, or by contacting us at [contact email].

  • If you no longer wish to receive marketing from an event partner, use the unsubscribe link in their email or contact them directly. You can also ask us to stop sharing your details with event partners going forward.

  • Withdrawing consent does not affect messages we are otherwise permitted to send you (for example, service or transactional messages about an event you have registered for).

We will never sell your email address, and we do not share your details with any third party for marketing purposes without your consent.


4. How we use your information

We use personal information to:

  • Deliver and improve our website, livestreams, highlights, and coverage;

  • Administer competitions, giveaways, and event registrations (including notifying winners and delivering prizes);

  • Send you updates and marketing that you have opted in to receive;

  • Share your details with event partners for their marketing, only where you have consented (see section 3);

  • Respond to your enquiries;

  • Understand how our platform is used so we can improve it; and

  • Meet our legal obligations.

We will not use your information for a purpose other than the one it was collected for, unless permitted by the Privacy Act 2020 or authorised by you.


5. Who we share information with

We may share personal information with:

  • Event partners: only your name and email address for marketing, and only with your consent, as described in section 3;

  • Service providers: trusted providers who help us run the platform, such as website hosting, email delivery, analytics, and streaming providers, who may only use your information to provide services to us;

  • Legal and safety: where disclosure is required or permitted by law, or necessary to prevent or lessen a serious threat.


6. Overseas storage and disclosure

Some of our service providers (for example, hosting and email platforms) may store or process information outside New Zealand. Where we disclose personal information overseas, we take reasonable steps to ensure it will be subject to safeguards comparable to those in the Privacy Act 2020, consistent with Information Privacy Principle 12.


7. Storage, security, and retention

We take reasonable steps to keep personal information safe from loss, misuse, and unauthorised access, use, modification, or disclosure. Access to personal information is limited to those who need it to perform their roles.

We keep personal information only for as long as it is needed for the purposes it was collected for, or as required by law, after which it is securely deleted or anonymised.

If a privacy breach occurs that is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by the Privacy Act 2020.


8. Young people

Much of our coverage involves school sport, and some of our audience may be under 18. We take particular care with the personal information of young people. Marketing consents are intended for people aged 16 and over; if you are under 16, please ask a parent or guardian before submitting your details. If we become aware that we hold marketing consent from a person under 16 without appropriate involvement of a parent or guardian, we will remove it.


9. Cookies and analytics


We use cookies and similar technologies to keep the site working properly, remember your preferences, and understand how visitors use the platform. You can manage or disable cookies through your browser settings, though some features may not work as intended without them.


10. Your rights

Under the Privacy Act 2020 you have the right to:

  • Access the personal information we hold about you;

  • Correct that information if it is wrong; and

  • Withdraw marketing consent at any time (see section 3).
